How we use data

Search4 (which includes Design & Build Recruitment, Public Sector People, and Tech & Data People) is committed to protecting personal privacy. Our commitment to privacy is demonstrated by our adherence to the Australian Privacy Principles as outlined in the Privacy Act 1988.


Aim

The personal information we collect is used for the administration of our services and to enhance and develop our relationship with you. This information is used and disclosed in connection with:


  • Your actual or possible work placement
  • Your performance appraisals
  • Our assessment of your ongoing performance and prospects
  • Any test or assessment (including medical tests and assessments) that you might be required to undergo
  • Our identification of your training needs
  • Any workplace rehabilitation you undertake
  • Our management of any complaint, investigation or inquiry in which you are involved
  • Any insurance claim or proposal that requires disclosure of your personal information


What information do we collect?

Personal information is information or an opinion (whether true or not) about an identified or reasonably identifiable individual. It is likely to include general contact information (including name, address (personal, business and email) and phone numbers), work and performance information (including the opinions of others about an individual's work performance and details of work experience and qualifications), results of any applicable aptitude test results, and other information obtained by Search4 in connection with a work placement or application(s) for any work placement.


Sensitive Information: This is a special category of personal information and includes information or an opinion about your membership of a professional or trade association, membership of a trade union, criminal record, or health or disability (at any time). Sensitive information will only be collected with your consent, unless otherwise permitted or required by law.


Search4 will only collect, use and disclose personal information that is necessary for, and relevant to, the proper performance of our tasks or functions.


How your information is collected

Personal information will be collected from you directly when you complete one of our application forms or submit your resume, attend an interview, or otherwise provide us with personal information, whether at our request or your own initiative.


Some laws, such as taxation law, immigration law, and laws for the protection of certain classes of people (such as children or the elderly), may require that we collect certain types of information from you.


Personal information (including sensitive information with your consent) will also be collected when we receive:


  • Any reference about you
  • Results of inquiries that we might make of your former employers, work colleagues
  • Information from professional associations or registration bodies about you
  • The results of any competency or medical test taken by you
  • Performance feedback (whether positive or negative) about you
  • Any complaint from or about you in the workplace
  • Any information about a workplace accident in which you are involved
  • Any information about any insurance investigation, litigation, registration or professional disciplinary matter, criminal matter, inquest or inquiry in which you are involved


From time to time, we may need to process your information through trusted third-party service providers that take the same level of care and security as we do. This helps us to deliver and improve our services, including customer feedback and database management. 

Your personal information may be disclosed to:


  • Clients of Search4 who may be your potential or actual employer
  • Your referees
  • Our insurers
  • A professional association or registration body that has a proper interest in the disclosure of your personal and sensitive information
  • A workers compensation body
  • Our third-party providers: e.g. customer feedback and database management systems
  • Any person with a lawful entitlement to obtain the information


Search4 does not generally disclose your personal information to overseas recipients. In the event Search4 does, it will take steps reasonable in the circumstances to ensure the overseas recipient complies with the Australian Privacy Principles or is bound by a substantially similar privacy scheme, unless you consent to the overseas disclosure or the disclosure is otherwise permitted or required by law.


What if you don't provide information?

You are not required to provide us with any personal information when dealing with us. However, if you do not give us the information we seek, or you provide us with inaccurate or incomplete information:


  • We may be limited in our ability to locate suitable work for you
  • We may be limited in our ability to place you in work


Data Security

Search4 employs a variety of physical and electronic security measures, including restricting physical access to our offices, firewalls, and secure databases to keep personal information secure from misuse, loss or unauthorised use or disclosure.


The Internet is not a secure environment. If you send us information, including your email address, via the internet, it is sent at your own risk.


Your Rights and Contact

You have the right to access the personal information we hold about you, subject to certain exceptions (which are outlined in Australian Privacy Principles 12 and 13). If you can establish that personal information we hold about you is inaccurate, incomplete, out-of-date, irrelevant and/or misleading, we will take reasonable steps to correct it.


If we are unable to agree that the personal information requires correction, you may ask us to place a statement with the personal information about you that claims that particular information is inaccurate, incomplete, out-of-date, irrelevant and/or misleading. In some cases, we may impose a moderate charge for providing access to personal information; however, we will not charge you simply because you lodge a request for access.
